Privacy Policy

What we collect, why we collect it, who else sees it, and how to get it removed. Written to be read rather than skimmed past.
1. Who we are
Prospect Verdict is operated by Topel Software Solutions LLC, Niceville, FL 32578. This policy explains what we collect, why, and what you can do about it. Questions go to support@prospectverdict.com.
2. What we collect
From you, when you use the service:
- Account details — your name, email address and business name.
- What you tell us about your business — your offer, pricing, target market and the notes you write on leads and clients.
- Usage data — which features you use, when lead runs happen, and error diagnostics, so we can keep the product working.
- Support messages you send us.
Payment information is handled entirely by our payment processor. We never see or store your full card number; we keep only a customer reference, your plan, and your subscription status.
If you request a sample on our marketing pages we store the email address you gave, the location and category you entered, and the sample produced, so we can show it to you again and move it into your account if you sign up.
3. How we use it
- To provide the service — generating, scoring and delivering leads, and running your CRM.
- To improve lead quality, including learning from the outcomes you record so later leads suit you better.
- To send you service messages, and marketing or product email only where you have opted in.
- To take payment and manage your subscription.
- To keep the platform secure, diagnose faults and prevent abuse.
We do not sell your personal information as an account holder, and we do not share your lead data or pipeline with other customers.
4. Lead and prospect data
Leads are assembled from publicly available web sources — business websites, public listings and public search results. We do not buy or query private consumer databases.
- Business name, website, and business phone and email.
- Publicly listed contact names and job titles, when our research found them attached to the business (for example, on a company's own "team" or "contact us" page).
- Social and business listing URLs.
- AI-generated observations, reasoning, scores and grades about the business's fit for the customer's offer.
The purpose of this research is to let a customer of ours identify and approach businesses that may want their services. We provide these research results, including business contact information, to the customer who requested them.
If you are a business or an individual named in a lead and want to know what we have about you, or want it corrected or removed, email support@prospectverdict.com. This applies whether or not you use the service yourself, and we will act on it within 45 days.
5. Outreach emails
Emails you send to a prospect through the platform come from our sending domain, with your own address set as reply-to — so a prospect's reply lands in your inbox, not ours.
We record delivery, open and bounce events for each outreach email we send, so we (and you) can tell whether a message reached its recipient. Replies are logged only when you tell us about them; we do not read your prospects' reply content.
Our customers decide which prospects to contact, what message to send, and whether they have the right to contact a recipient. We provide tools that may help create, send, track, or manage outreach, but our customers remain responsible for the content, targeting, recipients, consent, opt-outs, suppression lists, and legal compliance of their outreach. We may process delivery, open, bounce, unsubscribe, suppression, and abuse-report events to operate the service, protect deliverability, prevent misuse, and comply with law.
6. Third parties we rely on
We use a small number of suppliers to run the service. Each receives only what it needs:
- A payment processor, which handles checkout, cards and subscriptions.
- An email delivery provider, which sends the messages we and you send from the platform, and reports delivery, open and bounce events back to us.
- AI processing providers, which process the inputs needed to research leads, score fit, generate observations, and draft outreach. These providers may receive account inputs, offer descriptions, publicly available business information, lead data, prompts, and draft outputs as needed to provide the service. We require service providers to process information for the services they provide to us and not for unrelated purposes unless we disclose otherwise or obtain any consent required by law. We do not name individual AI vendors here because the supplier may change.
- Hosting and database infrastructure providers, based in the United States.
- The Meta Pixel and HeyCatch, on our public marketing pages only — see below.
8. How long we keep it
Account and CRM data — including the leads it contains — is kept while your account exists, with no automatic expiry date, so the product keeps working across months and your learning profile keeps improving.
When you ask us to delete your account, we delete or deidentify your personal data and CRM contents from active systems through a manual process that we aim to complete within 45 days. We may retain limited information where reasonably necessary for billing, tax, accounting, fraud prevention, security, legal compliance, dispute resolution, enforcement of our Terms, suppression lists, or backup and disaster-recovery purposes. Backups are retained separately from the live database and are overwritten or deleted on our normal backup cycle; we do not use backup data for ordinary business purposes unless it must be restored for security, continuity, or legal reasons.
Sample leads generated from our public sample pages, and the email address used to request them, are kept until the requester unsubscribes or asks for removal — there is no automatic expiry.
9. Your choices
- Opt out of marketing email — use the unsubscribe link in any message, or turn notifications off in your settings. Service messages about your account continue.
- Export your data — ask us and we will provide it.
- Delete your account — ask us and we will delete it and its contents.
- Correct your details — edit them in the app, or email us.
For any of these, email support@prospectverdict.com.
10. Automated scoring
The score and grade attached to each lead are automated estimates of how well that business fits the offer our customer described — produced by AI systems reasoning over the research findings, not by a person reviewing the business individually.
These scores are not used, by us or on our behalf, to make decisions about anyone's credit, employment, housing, or insurance eligibility, and are not intended to be used that way by our customers.
11. Security
We encrypt data in transit, store passwords as salted hashes rather than in readable form, and restrict who can access production data to what their role requires.
No system is perfectly secure. If we determine that a security incident triggers a legal notice obligation, we will provide notices required by applicable law. Depending on the facts and the law that applies, notices may go to affected individuals, account owners, regulators, payment processors, service providers, law enforcement, or consumer reporting agencies. Not every unsuccessful attack, attempted intrusion, spam event, vulnerability report, or customer-caused exposure is a reportable breach.
12. California privacy rights
If you are a California resident, you have the right to know what personal information we collect about you, to delete it, to correct it, and to opt out of the sale or sharing of it, without discrimination for exercising these rights.
Categories of personal information we collect, matching the categories above: identifiers (name, email, business name), commercial information (your plan and billing status), internet activity (how you use the service), and — for the businesses and individuals our research covers — identifiers and professional or employment-related information such as a business contact name and title.
To exercise any of these rights, email support@prospectverdict.com. See "Cookies and analytics" above for how to opt out of the one activity (the Meta Pixel) that may count as "sharing" under California law.
13. Children
The service is a business tool. It is not directed at children, is not designed for anyone under 13, and we do not knowingly collect their information. If you believe a child has given us personal data, contact us and we will remove it.
14. International users
The service is intended for business use in the United States, and we operate from the United States and process and store data there. If you use the service from outside the US, you are sending your information to the US, where privacy law differs from your own; we do not represent that the service complies with the law of any country other than the US.
If you are in the EU, UK or Canada and a business or individual you are associated with appears in our research, you can email support@prospectverdict.com to object to that or request its removal, and we will act on it within 45 days. This is not a representation that the service complies with the GDPR, UK GDPR, or any similar law.
15. Changes to this policy
We update this policy as the product changes. If a change is material we will notify registered users by email or in the app. The date at the top of this page always reflects the current version.
